Scheduler – Appointments (Full Time)

Job Description:  The Scheduler – Appointments position is responsible for coordinating provider schedules in order for the Practice to achieve the highest standards of patient service and satisfaction. Other responsibilities include answering incoming telephone calls and directing callers to the appropriate department. Responsible for knowledge of the referral process and communicating appointments to a referring office by phone and/or fax in a timely and accurate manner. 

Requirements:  Seeking team player with a strong customer service focus and commitment. This individual must be outgoing and sensitive to patient needs.  Outstanding telephone communication skills and excellent attention to detail are required. Knowledge of medical terminology, CPT coding, ICD-10 diagnosis familiarization, and insurance practices.

Business Operations Manager (Full Time)

Job Description: With a customer service focus and commitment, the Business Office Manager assists the CEO with planning, direction, and execution of the operations of the practice.

Requirements:

  • Education: A bachelor’s degree in health administration, business administration, or business management is required. 
  • Experience: This individual must have a thorough knowledge of medical office operations and billing systems, the ability to interpret and administer practice business policies and effectively communicate with staff, physicians, and patients. A minimum of 3-5 years of medical office operational management experience is preferred. Orthopaedic experience is a plus! 

Duties and Responsibilities:

  • Supervises day-to-day operation of the clinic department(s) implementing clinic objectives, policies, and procedures.
  • Evaluates performance within delegated areas and recommends merit increases, promotions, and disciplinary actions.
  • Monitors and sets examples for achieving the highest standards of patient satisfaction.
  • Attends administrative meetings and participates in committees as requested.  
  • Resolves operation problems and recommends changes to the CEO.  
  • Analyze, troubleshoot, and recommend changes to information technology, procedures, and policies. 
  • Identifies and implements workflow, procedural and operational improvements in the business office.  
  • Maintains compliance with governmental regulations and industry requirements including, but not limited to OSHA, HIPAA, and MIPS.  
  • Assists in developing, implementing, and administering office policies and procedures to include monitoring changes in the medical insurance industry and adjusting policy and procedures accordingly.  
  • Collects data, prepares reports, answers correspondence, and compiles statistics for administrative and regulatory purposes.
  • Trains new and current departmental staff in medical office systems with an emphasis on efficiency. 
  • Assists in helping CEO develop long-range plans involving new products, services, and human resources. 
  • Shares information and facilitates development of communication systems for staff, providers, and administration. 
  • Pursues professional development activities to ensure currency with present practices and trends in healthcare.

Knowledge:

  • Knowledge of organization policies and procedures. 
  • Knowledge of fiscal management practices and human resource management techniques. 
  • Knowledge of healthcare administration systems. 
  • Knowledge of governmental regulations and billing requirements. 
  • Knowledge of computer systems and system applications. 

Skills:

  • Skill in planning, organizing, and supervising. 
  • Skill in exercising initiative, judgement, problem-solving, and decision-making. 
  • Skill in developing and maintaining effective relationships with medical and administrative staff and with patients and the public. 

Abilities:

  • Ability to analyze and interpret complex data. 
  • Ability research and prepare comprehensive reports. 
  • Ability to communicate clearly and effectively in writing and verbally. 
  • Ability to function in a leadership role influencing medical and administrative staff. 
  • Ability to maintain confidentiality of sensitive information.
